NBBA WORLD SERIES PLANNING GUIDE

VOLUNTEERS:

  1. The total number of volunteers you will need depends on the number of teams participating in your World Series and the number of FULL TIME volunteers you can arrange versus part-time volunteers.
  2. You will need volunteers at least at the fields and the hotel. Some host cities use volunteers as greeters at the airport to welcome and assist teams as they arrive and depart.
  3. Plan on needing a minimum of 100 volunteers.
  4. Field duties for volunteers can include the following duties: local scorekeeper, local head umpire, field umpire, base judge, base operator, equipment manager, hospitality/information, water manager, statistician, field set up crew, field tear down crew, medical personnel and general gofer. Other duties may be included as you see fit. Make sure these people are able to tolerate heat, sun and standing for long periods of time.
  5. Hotel duties for volunteers mostly include those involved with running the hospitality room. You will need volunteers to staff the hospitality room for all the hours it is open during the tournament week. The volunteers will need to be armed with all the information they will need to answer questions from participants, prepared to assist with any refreshments/entertainment provided and able to sell souvenirs.
  6. The NBBA has a list of “NBBA” head umpires and scorekeepers. Contact the secretary for an up-to-date copy of this list. The host city IS responsible for providing the hotel room for the NBBA Head Umpire for the entire tournament week, plus any extra days needed to have him in the host city for local umpire training if it is needed. The host city uses its own discretion on paying out any other reimbursements for any other volunteer(s) expenses for hotel, airfare or food. When inviting an NBBA qualified head umpire or scorekeeper, please do so through the NBBA secretary and notify the individual what, if any, known expenses will be reimbursed. You may always provide reimbursements at a later date if you find you have the funding to do so.
  7. Sources for finding volunteers include, but are not limited to: local universities (staff, adaptive sports/rec program students and Greek organizations), local service organizations (Lions, Kiwanis, Civitan, Eagles, etc.), family members, friends and local schools (teachers usually have the summers off).
  8. Your field volunteers, especially, will need training on their duties. Plan at least one training session PRIOR to the World Series week.
  9. If possible, planning and posting a volunteer schedule at the hotel and at the fields is a great service to your NBBA Head Umpire and any volunteers you may have staffing those stations. Even if you don’t have specific “assignments”, names are very helpful along with any restrictions for each volunteer.
  10. If teams from Taiwan are participating in your World Series tournament, consider contacting your closest Tsu Chi Foundation or a local Asian Business Association for assistance with the Taiwan team(s) needs while they are here.
