NBBA WORLD SERIES PLANNING GUIDELINES

HOTEL:

  1. Obtain hotel. Minimum number of rooms needed for block is 160. This should accommodate up to 16 teams.
  2. Try to find a hotel close to the fields. Free airport shuttles are a plus.
  3. If you are planning to use the hotel for the awards ceremony and are considering a banquet, the facility needs to hold 400 people.
  4. Meeting rooms required for the week:
    1. Tournament committee meeting (approximately 15 people) – Monday 9 p.m. to 11 p.m.
    2. NBBA committee meetings (3 simultaneously with approx. 15 people) – Tuesday 8 a.m. to 10 a.m.
    3. NBBA Board meeting (approx. 25 people) – Tuesday 10:30 a.m. to 12:30 a.m. (have teleconference line available, please)
    4. NBBA General Assembly (approx. 300 people Theatre style) – Tuesday 1:30 p.m. to 4 p.m.
    5. Coaches, captains and umpires meeting (approx. 75 people) – Tuesday 4:30 p.m. to 6:30 p.m.
    6. Championship & Consolation bracket drawings (approx. 50 people) – Wednesday 9 p.m.
    7. NBBA Board meeting (approx 25 people) – Friday 8 p.m. to 9:30 p.m. (have a teleconference line available, please)
    8. Hospitality room: This room serves as tournament headquarters for participants and volunteers. Programs, schedules of events, round robin and bracket information should be available here, along with the ability to purchase souvenirs and obtain any refreshments provided. Volunteers should be trained on any info to be provided and able to assist participants in any way they can. This room does not need to be open all day every day of the tournament. Please post its hours in both large print and in Braille.
    9. Opening ceremony: Tuesday evening (if you have one at the hotel)
  5. Make arrangements with the hotel to start breakfast early enough for teams to be able to use the hotel restaurant before going to the fields. Try to arrange a discounted price if possible.
  6. Arrange for equipment storage, if needed, at the hotel. You will have a minimum of 10 sets of bases, including their electronics, shelters, and balls. The potential exists for home plates, water coolers, benches/chairs and tables, field set up/tear down tools, cans of field paint, trash receptacles/bags, line painting machine, cat litter, communication devices and empty boxes (for balls at each field) as well.
